Next Level Group is partnering with a well-established professional services organization to recruit an Administrative Assistant. This role is ideal for a highly organized and detail-oriented individual who enjoys supporting a team of professionals in a fast-paced, client-focused environment.

The successful candidate will work closely with senior leadership and administrative staff, playing a key role in coordinating processes, monitoring engagements, and maintaining strong working relationships with both clients and internal teams.

Key Responsibilities:

  • Scan, organize, and save documents accurately and efficiently
  • Provide administrative support to senior administrative staff as required
  • Manage intake and processing of client information
  • Assemble and prepare finalized client packages
  • Answer and direct incoming phone calls professionally
  • Monitor emails, incoming mail, and schedule meetings
  • Prepare correspondence, memos, and invoices
  • Perform general administrative duties as needed

Qualifications & Skills:

  • General understanding of professional services environments (accounting or similar is an asset)
  • Ability to work independently while also contributing effectively within a team
  • Strong organizational skills with the ability to manage multiple priorities and follow direction
  • High level of accuracy and attention to detail
  • Excellent verbal and written communication skills
  • Strong time management and prioritization abilities
  • Proficiency with Microsoft Office programs, including Word and Excel
  • Familiarity with accounting software such as CaseWare and iFirm is considered an asset
  • Strong critical thinking, problem-solving, and decision-making skills

Additional Requirements:

  • Flexibility to work additional hours during peak client and industry deadlines
  • Ability to travel locally as required
